How it works

Four simple steps.

Book before the holidays. We supply the packaging materials. You pack your room. We handle the rest.

Step 1 · Before the break

Book online

Create an account, tell us what you're storing and where to collect it, and pay the once-off R1,650. Your slot is locked in , with nothing owed later.

Step 2 · Packing materials

You pack

We supply your boxes, two bags and packing tape. Pack your things, seal every box with the tape we provide, then sign your name across the seal. This is your own record that it hasn't been opened until you get it back.

Step 3 · End of November

We collect

We arrive at your residence, scan each item onto your unique QR code, and take everything to our secure storage facility.

Step 4 · Early February

We return it

When you're back, we deliver everything straight to your new room and securely place it inside before you return, so your belongings are waiting for you in your locked residence. Your account updates at every step, so you always know where your items are.

Are my items safe?

Every student gets a unique QR code, and every item is labelled and scanned at each step. This includes collection, storage and delivery. Your belongings are kept in our secure, dry facility. You seal and sign your own boxes before we collect them, so you can check that they haven't been opened while in our care. You can always see exactly where your belongings are.

How do I follow my booking?

Sign in at any time to see exactly where your items are. Your tracker shows when they are booked, collected, in storage, out for delivery or delivered. It also shows which residence and room they were returned to.

Who packs the boxes?

You do. Before collection day we supply your boxes, two bags and packing tape. Pack your belongings, seal each box with the tape we provide, and sign your name across the seal. This gives you an easy way to check that your boxes haven't been opened while they're in our care.

How does the QR tracking work?

Every student gets a unique QR code. We scan your belongings onto it at each step — collection, storage and delivery — so you can see exactly where your things are at that moment, right from your account.

Where do you collect from?

We currently collect from university residences and hostels. If you live somewhere else, email hello@varsitystoreroom.co.za with where you're located and we'll kindly assist you.

How do I pay?

A once-off payment of R1,650 (plus any add-ons) secures your booking.

What if I have something not on the list?

Email hello@varsitystoreroom.co.za with what you need stored and we'll send you a custom quote.

What if my plans change?

Plans change, we get it. If you cancel more than 14 days before collection, you will be eligible for a full refund. Bookings cancelled within 14 days of collection are non-refundable. You will see the full refund terms before confirming your booking.

Terms and Conditions

Last updated: July 2026. These terms will be finalised before the service launches.

1. The service

Varsity StoreRoom (Pty) Ltd, Registration No. 2026/564317/07, provides a student storage and delivery service. We collect, store, and return your items over the December to February holiday period.

2. Booking and payment

A once-off payment of R1,650 (plus any add-ons) is required to confirm your booking. There is no deposit and no balance due later. Bookings are only confirmed once payment has been received.

3. Packing

We supply the boxes, two bags and packing tape before collection day. You are responsible for packing your own items and sealing every box with the tape we supply. Once a box is sealed, sign your name across the seal in pen, this is your own record that the box has not been opened while in storage. Boxes must be packed, sealed and signed before we arrive to collect.

4. Items accepted

We accept standard student appliances and boxes as listed in your booking. We do not accept hazardous materials, perishable goods, illegal items, or anything that could damage other stored items.

5. Care of items

Every item is scanned onto your unique QR code at collection and stored in a secure, dry facility. While we take every precaution, Varsity StoreRoom is not liable for pre-existing damage, normal wear, or force majeure events. Condition photos may be taken at collection as a record.

6. Collection and delivery

Collection takes place at the end of November and delivery in early February, from university residences and hostels. Exact dates will be confirmed with you via WhatsApp. You or a representative must be present at collection.

7. Cancellations

Cancellations made more than 7 days before collection are eligible for a partial refund. Cancellations within 7 days of collection will not be refunded.

8. Privacy

Your personal information is used solely to manage your booking and provide the service. We do not sell or share your data with third parties.

9. Updates to these terms

These terms are in draft form and will be finalised before the service launches. The final version will be sent to all customers before their booking is confirmed.
